FRAMEWORK

Following the National Plan for Readiness and Response to COVID-19 Disease caused by the new Coronavirus (SARS-CoV-2) and the guidelines given by the Portuguese Tourism Authority and the General Directorate of Health (DGS) to mitigate the epidemiological evolution, AMGI CAMPERS adopts this Internal Protocol.

GOALS

  • Establish a set of rules for the prevention, control and surveillance of the COVID-19 Disease to be followed by AMGI CAMPERS employees
  • Inform customers and suppliers of the COVID-19 Disease prevention, control and surveillance standards applied in the establishment
  • Ensure the establishment’s total sanitation

1. PREVENTION PROCEDURES

On the Premises

Notice and Information

  • All AMGI CAMPERS Employees were provided with information and/or specific training on:
    • Internal Protocol Relating to the COVID-19 Coronavirus Outbreak
    • How to comply with daily self-monitoring to assess fever, check for cough or difficulty breathing
    • How to comply with the guidelines of the General Directorate of Health for cleaning surfaces and treating clothes in the establishment
    • How to comply with basic infection prevention and control precautions for the COVID-19 coronavirus outbreak, including the following procedures:
      • Hand hygiene: wash your hands frequently with soap and water for at least 20 seconds or use hand sanitiser that has at least 70º of alcohol, covering all surfaces of the hands and rubbing them until dry
      • Respiratory etiquette: coughing or sneezing into the fold of the forearm or using a tissue, which must then be immediately thrown away; always clean your hands after coughing or sneezing and after blowing your nose; avoid touching eyes, nose and mouth with your hands
      • Social conduct: changing the frequency and form of contact between workers and between them and customers, avoiding (when possible) close contact, handshakes, kisses, shared workstations, face-to-face meetings and sharing of food, utensils, glasses and towels
  • All Customersare provided by email and/or SMS or on site specific information about:
    • Internal protocol regarding the COVID-19 coronavirus outbreak – available online on the establishment’s website
    • How to comply with basic infection prevention and control precautions in relation to the COVID-19 coronavirus outbreak, including personal conduct (hand hygiene, respiratory etiquette) and social conduct (mask use in common areas and distance of 2 meters) – available online on the establishment’s website and on site
    • Comply with daily self-monitoring to assess fever, check for cough or difficulty breathing – available on site through posted posters
    • The customer is informed on site of the Clean & Safe security procedures
    • The customer is sensitised on site to the good use of the motorhome in accordance with Clean & Safe procedures, including the regular use of alcohol gel for hand disinfection and the renewal of air inside the motorhome by opening the windows
    • Motorhome check-in (when picked up by the customer): delivery of the sanitised motorhome
    • Camper-van check-out (when delivered by the customer): verification of the status of the motorhome by AMGI CAMPERS staff.
  • All Supplierswere provided with specific information on:
    • Internal protocol regarding the COVID-19 coronavirus outbreak (by email)
    • In the delivery of goods, all material is left in the area delimited for this purpose, duly marked (the material will be received and transported by an employee designated by AMGI CAMPERS)
    • Invoices/guides are received, whenever possible, in electronic format.
    • The meetings to take place will be conducted by video call

SANITATION PLAN

The sanitation plan, established by AMGI CAMPERS, for cleaning the office – followed by employees duly trained for the purpose and verified by the Responsible for the cleaning sector – complies with the following rules:

Desk

  • Cleaning surfaces that are frequently touched using detergent, followed by disinfectant: 4 times a day (door handles and light switches); after each use (laptop and ATM machine is disinfected with disinfectant)
  • The office floor is washed twice a day using hot water and detergent, followed by disinfection with a bleach solution (sodium hypochlorite solution with a concentration of at least 5% of free chlorine) diluted in water

The sanitation plan, established by AMGI CAMPERS, for cleaning motorhomes – followed by employees duly trained for this purpose and verified by the person in charge of the cleaning sector – based on a Guidance for Vehicle Sanitation recommended by ARAC, complies with the following standards:

Camper-vans

  • The cleaning team, insure a good air circulation before, during and after the cleaning procedures
  • The employee who cleans the motorhome is equipped with a surgical mask, gloves and an apron over her clothes
  • Hands are washed before putting on and after removing gloves
  • The camper-van is cleaned, whenever possible, in its final position (place where delivery to the customer takes place) to reduce the risk of contamination and spread of SARS-Cov2. Thus, the first contact with a camper-van is made by the customer.
  • After cleaning and disinfection of the camper-van, entry is prohibited for anyone other than the customer, except when a camper-van must be delivered outside the premises of AMGI CAMPERS
  • In case of need to enter or use a vehicle marked as sanitised, the camper-van must be cleaned again, disinfected and identified as sanitised
  • The cleaning method used in the camper van is manual / classic, as follows: cleaning – using a microfibre cloth moistened with water and detergent; disinfection – using a microfibre cloth moistened with a disinfectant product or Isopropanol Solution to remove viruses, bacteria and fungi, which should be effective in eliminating the COVID-19 virus. After applying the disinfectant, allow to air dry
  • All surfaces of camper-vans, whose contact with the driver and/or passengers is foreseeable, are cleaned with the indicated disinfectant product, with special attention to the following areas:
    • Steering wheel, including all controls and functionalities present (ex: horn, wiper knob, vehicle headlights activation and deactivation knob, etc.);
    • Lever / shift knob;
    • Handles, exterior and interior, of all doors, including luggage compartment handle;
    • Vehicle instrument panel, including climate control buttons, radio, CD player, “4 turn signals”, GPS, etc.;
    • Interior of the rearview mirror;
    • All power windows control buttons;
    • Side mirror control buttons;
    • Parking brake (“handbrake”);
    • All vehicle seat belts and seat belt stopper “buttons”;
    • Glove box including opening handle;
    • Interior lights on/off buttons;
    • Fuel tank opening cap and clean and dirty water tank cap;
    • Vehicle seat adjuster (height adjuster, backrest adjuster, neck backrest adjuster, distance adjuster to vehicle pedals);
    • Vehicle keys;
    • All the extras used (booster seat, barbecue, bodyboard, child seat, camping chair, chairs, Bluetooth column, snow chains, surf suit, power inverter, table, umbrella, surfboard, bag- bed, mobile phone holder, tent, Wi-Fi) are sanitised;
  • For the cleaning of motorhomes, the following rules were established by AMGI CAMPERS: before cleaning, garbage and any objects that must be inside the vehicle are removed; cleaning is carried out from top to bottom and from the cleanest to the dirtiest areas in the following order: windows / glass, surfaces above the floor (cabinets, kitchenette countertops, seats,…), existing equipment, toilet, floor. These rules are complemented by Guidelines 008/2020 and 014/2020 published by the DGS (see Annexes I and II)
  • The activities of cleaning the camper-vans are carried out at different times: in the 1st moment, the removal of clothes, garbage and objects left by the customer is carried out; after properly aerated, proceed with cleaning; finally, the motorhome is disinfected with a disinfectant product, spraying the entire motorhome.
  • For the removal of bed linen and towels, the following rules were established by AMGI CAMPERS: do not shake the bed linen; remove it without shaking it, rolling it from the inside out, making a “wrap”; do not touch the clothes to the body; put the clothes in a waterproof bag, close it well to be transported to the place where the clothes will be washed. After washing and drying, it is placed in a bag that is sealed and opened only by the customer. Pillows and duvets are sprayed with a disinfectant product
  • Priority is given to wet cleaning, bearing in mind that the bucket and mop are cleaned and disinfected at the end of each use
  • Cleaning is carried out with different cloths depending on the areas to be cleaned, namely: washbasin cleaning cloth (pink); cloth for cleaning the outside of the toilets (blue colour); the inside of the toilet is cleaned using hot water and detergent, followed by disinfection with a bleach solution (sodium hypochlorite solution with a concentration of at least 5% of free chlorine) diluted in water
  • After cleaning the camper-vans, the employee ensures the washing, disinfection and drying of all cleaning and disinfection utensils and equipment

Stock of Cleaning/Sanitising Materials and PPE

  • Cleaning products: H40 (floors) C70 (degreasing)
  • Disinfectant products: ECO-Z HIGISOL 70 (surface, equipment and hand disinfectant); OXICUAT equivalent to bleach solution (sodium hypochlorite) with original concentration of 5% free chlorine
  • Resistant plastic bags of 100L
  • Sufficient personal protective equipment: plastic apron; non-reusable type I surgical mask; disposable gloves.

FOR EMPLOYEES

Training

  • All AMGI CAMPERS Employeeswere provided with information and/or specific training on:
    • Internal Protocol Relating to the COVID-19 Coronavirus Outbreak
    • How to comply with daily self-monitoring to assess fever, check for cough or difficulty breathing
    • How to comply with the guidelines of the General Directorate of Health for cleaning surfaces and treating clothes in the establishment
    • How to comply with basic infection prevention and control precautions for the COVID-19 coronavirus outbreak, including the following procedures:
      • Hand hygiene: wash your hands frequently with soap and water for at least 20 seconds or use hand sanitiser that has at least 70º of alcohol, covering all surfaces of the hands and rubbing them until dry

    • AMGI CAMPERS cleaning employees received training on the products used (detergents and disinfectants), the precautions to take with their handling, dilution and application in safe conditions, how to protect themselves during cleaning procedures and how to ensure good ventilation during cleaning and disinfection

Personal Protective Equipment

  • The cleaning staff use the following protective equipment: plastic apron over their clothes; nonreusable type I surgical mask; disposable gloves
  • At the end of the day, the employees’ clothes are removed with care in order to avoid shaking, placed in a closed bag and subsequently washed separately in the machine at high temperature (about 60°C)
  • Customer service professionals wear the following protective equipment: mask and gloves.

Designation of Those Responsible

  • 2 collaborators (the second acts in the absence of the first) were designated by AMGI CAMPERS as responsible for:
    • Activate the procedures in accordance with this Internal Protocol complemented by the AMGI CAMPERS Contingency Plan in case of suspected infection, whether you are an employee or a client
    • Indicate by telephone the employee who should accompany the person with symptoms to the isolation space and provide them with the necessary assistance, while the Responsible contact the national health service
    • Manage the team (compliance and monitoring of the sanitation plan).

Conduct

  • All AMGI CAMPERS employees were instructed to carry out daily self-monitoring to assess fever, existence of cough or difficulty in breathing

Behaviours Adopted by AMGI CAMPERS Staff:

  • Disinfect hands on arrival, several times a day and before departure
  • Change clothes and disinfect shoes (store the clothes you bring from home, put on cleaning clothes)
  • Keep the hair up
  • Avoid excessive use of personal adornments (bracelets, threads, rings, etc.)
  • Maintain distance between employees and customers and avoid physical contact, including handshakes

FOR CUSTOMERS

Equipment – Personal Protection

  • All customers must wear a mask that is made available to them if they need it.

2. PROCEDURES IN CASE OF SUSPECTED INFECTION

ACTION PLAN

  • The responsible person will designate by telephone the employee who will have to accompany the suspected infection (client or worker) to the isolation space and provide him with the necessary assistance, while the responsible person informs the employer by telephone to alert the situation and, then contact the health line 24 (SNS 808 24 24 24)
  • If traveling, the customer must seek medical assistance at the nearest hospital. In the meantime, you must remain in the motorhome that will serve as the Isolation Area
  • The responsible person will coordinate the reinforcement of cleaning and disinfection whenever there are patients suspected of infection, especially on surfaces frequently handled and most used by the same, as indicated by the DGS
  • The Isolation Area (mobile home that the customer has rented; in the case of a worker, office) for people who may be detected as suspected or confirmed cases of COVID-19, has the following conditions: natural ventilation; smooth, washable upholstery (no curtains or carpet); surgical masks, disinfectant gel and disposable gloves; thermometer (record sheet and pen); waste container (foot pedal and with plastic bag); waste bags; collection bags for used clothing; cleaning material stock; kit with water and some non-perishable foods
  • AMGI CAMPERS has no legal duty to extend or offer the rental of the camper-van to the customer who is confirmed as infected by Covid-19 by the Health authorities. The customer must inform the CAMPERS ON WAY staff, in case of validation for Covid-19 disease to trigger decontamination of the camper-van.

DECONTAMINATION OF THE INSULATION SITE

  • The decontamination of the Isolation Area, as indicated by the General Directorate of Health, is carried out as follows: 1st prepare the bleach solution (sodium hypochlorite) (1 part bleach to 49 parts water); 2º wash the surfaces first with water and detergent, then spread the bleach solution evenly on the surfaces and let it act for at least 10 minutes; 3rd rinse only with hot water and allow to air dry
  • The storage of waste produced by patients suspected of infection is placed in a plastic bag, which, after being closed, must be placed in another plastic bag and, finally, placed in the undifferentiated garbage. Note: not only waste from the isolation room, but any and all waste, eg plastic bottles, must comply with this procedure

Annex I

Guideline No. 008/2020 – Surface Cleaning and Disinfection:

  • If there is blood, respiratory secretions or other organic liquids, absorb the liquids with absorbent paper; apply the bleach diluted in water in the proportion of one measure of bleach to 9 equal measures of water; leave to act for 10 minutes; pass the place with water and detergent; rinse only with hot water and allow to air dry; use a mask when diluting and applying the bleach; open the windows to ventilate the space.
  • For common surface disinfection: wash first with water and detergent; apply the bleach diluted in water in the following proportion: one measure of bleach in 49 equal measures of water; leave the bleach to act for 10 minutes; rinse only with hot water and allow to air dry.
  • Sanitary facilities must be washed and disinfected with a mixed cleaning product that contains both detergent and disinfectant in the composition, as it is easier and faster to apply and act.
  • Furniture and some equipment can also be disinfected after cleaning, with wipes moistened with disinfectant or 70º alcohol.
  • If there is a kitchenette, clean and disinfect cabinets, countertops, table and chairs, not forgetting to disinfect cabinet and door handles; then clean and disinfect the faucet, sink and drain
  • Wash the bathroom, starting with the taps, washbasins and drains, then move on to the furniture, then the bathtub or shower, toilet
  • The same procedure is repeated for the shower, not forgetting to clean the shower well, unscrew the shower head, wash and disinfect
  • Toilet: apply the product that has the function of detergent and disinfectant simultaneously, inside and outside the toilet; leave the product to act for 10 minutes so that it has the desired effect, rub it well inside with the toilet bowl, flush the water with the toilet bowl still inside the toilet so that it is also clean; drain the toilet; wash and disinfect the toilet bowl support
  • With another clean cloth, wash the outside of the toilet, starting with the top (the least dirty), followed by the top of the toilet and all the exterior parts with the same detergent/disinfectant; pass after only with hot water and let it dry
  • Finally, wash the floor
  • Open area windows and allow to air dry.

Annex II

Guideline No. 014/2020 – Cleaning and Disinfection of Surfaces in Common Areas

When cleaning and disinfecting surfaces in common areas, the following guidelines should be followed:

  • Prepare bleach solution (sodium hypochlorite) with original concentration of 5% or more free chlorine. Bleach must be diluted before use. The diluted solution should be 0.1%, in the proportion of 1 part bleach to 99 equal parts of water.
  • First wash surfaces with water and detergent.
  • Then evenly spread the bleach solution on the surfaces.
  • Allow the bleach to act on surfaces for at least 10 minutes – read manufacturer/supplier instructions. This step is critical.
  • Then rinse the surfaces with only hot water
  • Let it air dry.
